Job Details

  • Provide superior customer service when answering incoming calls to the Energy Department.
  • Research and resolve propane and bulk fuel customer inquiries and disputes.
  • Follow established propane and bulk fuel pricing strategies.
  • Enter and dispatch propane and bulk fuel orders based on established routes and prices in dispatching program.
  • Assist Director of Energy with placing bulk propane tank orders, ensuring adequate inventory to meet growth demands.
  • Establish retail pricing for bulk propane tanks, ensuring profitability.
  • Schedule all propane site visits, tank installations, final hook ups, place in service, system checks, and troubleshooting service calls for Propane Service Technician and his backup.
  • Handle all propane leak (and potential leak) calls from customers, maintaining a calm demeanor. Instill confidence in customer and dispatch the Propane Service Technician immediately, following up with the customer.
  • Apply for and pull Contractor Mechanical Permits for new propane installations in all Counties utilizing their online portals. Work closely with the Counties on any issues encountered.
  • Schedule all Gas Line Pressure Tests and Final Inspections for new propane installations with all Counties utilizing their online portals. Track the results; research and resolve any denied inspections.
  • Work closely with the Propane Service Technician and Propane Delivery Drivers daily, communicating any customer requests and/or issues.
  • Set up all new propane customer accounts in three data bases & maintain propane customer database in propane specific software.
  • Maintain database of bulk propane tank assets.
  • Establish and maintain all propane customer physical files with the proper documentation needed per State and National guidelines.
  • Report all new propane tanks installed to the Office of State Fire Marshal on a monthly basis, ensuring the fees are paid on time.
  • Track expiring propane inspections and out of date equipment in database and schedule appointments with customers for Propane Service Technician to correct.
  • Prepare monthly yard tank inventory sheets for Propane Service Technician. Research and resolve any discrepancies.
  • Backup to Office Manager and Energy Admin for daily Fuel Inventory, Transport Invoicing, propane & refined fuel invoicing, daily bank deposits, & balancing all truck meters. Post results to daily log. Research and resolve any discrepancies.
  • Attend and participate in bi-monthly Propane safety meetings and monthly Energy Department meetings.
  • Communicate issues with the Director of Energy.
  • Maintain an organized and professional work area.

And other duties, responsibilities and/or tasks as assigned.

  • Ability to handle a variety of tasks accurately with many interruptions.
  • Ability to interact effectively with vendors, customers and co-workers.
  • Ability to thoroughly operate a computer and other automated office machines.
  • Basic accounting knowledge.
  • Ability to maintain both accuracy and speed.
  • High School graduate or equivalent.
  • Two years of prior customer service experience.
  • Experience with a multi-line PBX phone system.
  • Experience with Microsoft Word, EXCEL, and other office software.
  • Minimum 5 years of LPG customer service experience.
  • No special conditions.
