Project Management
- Define project scope of work in collaboration with senior management and other business units as needed
- Create a detailed work plan which identifies the resources (time, money, equipment, etc.) required to complete the project
- Develop a schedule for project completion that effectively allocates the resources to the activities
- Review the project schedule with senior management and all other staff that will be affected by the project activities; revising, updating, and communicating the schedule as required.
- Contract qualified consultants to work on the project as appropriate.
- Execute the project according to the project plan.
- Monitor the progress of the project and make adjustments as necessary to ensure the successful completion of the project.
- Establish a communication schedule to update stakeholders on the progress of the project.
- Oversee the construction bid process to general or sub contractors, receive all bids, compile bid summaries, level bids, qualify bids and provide a recommendation to senior management.
- Manage the design development process, present designs for internal review and approval and ensure dissemination of relevant documents to all internal & external business partners.
- Perform regular QA/QC assessment of project work and make recommendations on adjustments as needed.
- Ensure that all financial records for the project are up to date.
- Ensure that the project deliverables are on time, within budget and at the required level of quality.
- Support new store opening activities within the designated region. These include, but are not limited to; supply & installation of furniture, fixtures, and equipment, negotiation and execution of all required service and maintenance contracts, general support of the Director of Construction & Facilities in their absence or when inclusion is required.
- Meticulous record keeping of historic site information, site construction, and facility documentation. Memorialize CapEx as built information, operational and maintenance manuals and warranty information.
Facility Maintenance
- Develop, direct and review facility maintenance-operational programs including janitorial, landscape, HVAC, coffee/water, elevator, lift truck services, fire & security systems, etc. for locations in the designated region.
- Perform regular site assessments identifying facility related needs. Seek feedback and direction on addressing the needs. Identify and communicate on positive results reinforcing the continued outcome.
- Evaluate, manage, and directed approved facility maintenance and repair projects.
- Meticulous record keeping of historic site information, facility repair, and maintenance documentation. Memorialize new store as built information, operational and maintenance manuals and warranty information.
- Maintain accurate and up to date records of all service contracts and lease documents for reference and cost information to support facility maintenance activities. Ensure service contracts are continually cost and service driven.
- Through partnership with the Director of Construction and Facilities create departmental policy and protocol on work order and preventative maintenance prioritization, communication, and action procedures.
- Continuous improvement and utilization of work order systems ensuring use of the system is optimal based on business unit and enterprise needs.
Other Responsibilities Include But Are Not Limited To The Following:
- Manage and report all updates on the forecast.
- Manage and track construction budgets, spend to date, invoices paid, committed funds and change orders.
- Maintain a living log of future CapEx & maintenance needs identifying priority level, scope, and cost information to provide input for future cost planning for facility upkeep.
- Regional networking of designer, contractor, and service providers to strengthen the depth of bidding pools. Continuous management of the relationships with current vendor partners.
- Work with internal and external stakeholders to schedule various types of work.
- Schedule and lead meetings with project team to make sure projects are on plan, in budget, and up to company standards.
- Follow company and safety rules.
